How We Work – Our Agreement with You

(A friendly summary of our General Terms & Conditions)

At STADTGEIST, we want you to feel informed and confident when booking an experience with us. Below is the plain-language version of how we work together. You can download the full General Terms & Conditions at the bottom of this page.

1. Who You’re Booking With
   When you book, you’re entering into an agreement with:

2. What We Offer
   We design and deliver:
   - Guided excursions in selected German and Dutch cities
   - Educational seminars and workshops
   - Itinerary design services for meaningful, responsible travel
   
   Some experiences are led personally by Tom Bergrath; others may be delivered by trusted partner guides or educators.
   
   
3. Booking & Payment
   - Bookings are confirmed in writing (email is fine).
   - We’ll send you a booking confirmation and invoice.
   - A deposit may be required to secure your date.
   - Full payment is due before your experience starts, unless otherwise agreed.
   
   
4. Cancellation & Changes
   If you cancel:
   - Up to 14 days before your booking: full refund (minus any non-refundable costs we’ve already incurred).
   - 13–7 days before: 50% refund
   - Less than 7 days before: no refund.
   
   If we cancel:
   You get a full refund, or we can reschedule — your choice.
   Changes: We’ll do our best to adapt to your needs, but changes are subject to availability.
   
   
5. Prices & Group Sizes
   - Prices are given per group (not per person).
   - Maximum group size: 15 participants per facilitator for quality interaction.
   - Larger groups can be accommodated with additional facilitators (extra costs apply).
   
   
6. Your Responsibilities
   - Arrive on time so we can start as planned.
   - Follow any safety instructions given by your guide or seminar leader.
   - Make sure all participants are fit for the activity (e.g., able to walk for the duration of a city tour).
   
   
7. Our Responsibilities
   - We prepare your experience with care, research, and expertise.
   - We provide accurate, up-to-date information.
   - We ensure your safety to the best of our ability during the experience.
   
   
8. Liability
   We are responsible for delivering the agreed service to a professional standard.
   We are not liable for:
   - Personal injury, loss, or damage caused by circumstances beyond our control
   - Delays or cancellations caused by force majeure (e.g., extreme weather, strikes)
   - Your personal belongings
   
   
9. Privacy & Data Protection
   We respect your privacy. Your personal data will only be used to handle your booking and will never be shared with third parties without your consent, unless legally required.
   
   
10. Final Notes
    These terms are designed to protect both you and us, ensuring we can deliver the high-quality experiences you expect. By confirming a booking, you agree to these terms.
